Your little one is turning another year older—can you believe how fast time flies? 🎂 And suddenly, you are thinking about birthday plans, guests, venue, food, games, decorations… and the list goes on!
If you are wondering, “Where should I start? Is it too late? Should I have a big party or keep it simple?” — don’t worry, you are not alone. Most parents go through the same questions every year!
Step 1: Make the Guest List

The best place to start is with the guest list.
Once you know approximately how many people are coming, it becomes much easier to plan everything else.
Ask yourself:
• Are you inviting only the children?
• Are parents joining too?
• Will you invite family members?
• How many friends does your child really want to invite?
For younger children, especially around 3 years old, I personally prefer a family-friendly party with a small group of children.
At this age, children do not need a huge party. A few close friends and family members can be more than enough.
The most important thing is that your child feels comfortable and has fun.
Step 2: Decide Your Budget and Party Style

Today, there are so many ways to celebrate a birthday.
You can:
• Plan everything yourself
• Hire a party planner
• Have a party at home
• Book a kids’ activity venue
• Have a small celebration at a restaurant
• Plan an experience-based party
If you enjoy planning, DIY can be a great option. It also gives the party a personal touch, and children can be involved in small things like choosing the theme, colours or cake.
If you are busy, a party planner can make life much easier. They can help with invitations, decoration, food, games, entertainment and party favors.
My advice?
Set your budget first.
It is very easy to get carried away when planning a children’s party!
And remember, the party does not have to be expensive to be special.
Step 3: Choose the Venue

For younger children, a party at home can be simple, comfortable and affordable.
But if you want something different, there are many options in Jakarta.
For children around 3–8 years old, you can consider:
• Indoor playgrounds
• Trampoline parks
• Water play
• Art and craft activities
• LEGO or building activities
• Cooking or pizza-making
• Sensory play
• Animal or farm experiences
• Outdoor playgrounds
• Sports activities
• Family-friendly restaurants
For older children, you can also consider bowling, go-karting, creative workshops and other activities based on their interests.
Another option that is becoming popular is an experience-based party.
Instead of spending a lot on decoration, you can spend more on an activity that children can enjoy and remember.
For younger children, however, keep the party simple and consider their nap time, travel time and comfort.
The best venue is simply the one where your child will have fun.
Step 4: Choose a Theme

This is probably one of the most fun parts!
There are endless theme ideas:
• Dinosaurs
• Unicorns
• Cars
• Construction
• Animals
• Space
• Princess
• Superheroes
• Sports
• Safari
• Ocean
• LEGO
• Favourite cartoons or characters
You can make the theme as simple or as elaborate as you want.
It can be just:
Cake + balloons + simple decoration
Or you can use the theme for:
Invitation + decoration + cake + food + games + party favors
You can even customize cookies, cupcakes and other desserts to match the theme.
But remember, you do not have to match everything.
Sometimes a few simple details can make the theme look beautiful without spending too much.
Step 5: Plan the Food

Now comes the big question:
What food should I serve?
Indonesian? Indian? Western? Something else?
Whatever you choose, make sure there is some easy finger food for children.
Children are usually more interested in playing than eating, so simple food is often the best choice.
Think about:
• Small sandwiches
• Pizza
• Pasta
• Chicken bites
• Fruit
• Mini snacks
• Cupcakes or cookies
Also remember the parents.
And if nannies or caregivers are coming, it is a nice idea to prepare food for them too.
One more thing that is important today: ask about food allergies or special dietary requirements when guests RSVP.
Step 6: Entertainment and Games

This is the part children usually look forward to the most.
Depending on your budget, you can choose:
• Magician
• Balloon twister
• Face painter
• Bubble artist
• Arts and crafts
• Music and dancing
• Storytelling
• Simple treasure hunt
• Sensory activities
You can also hire an MC to keep the children involved and move the party from one activity to another.
However, you do not always need extra entertainment.
If the party is at a playground or activity venue, the children may already be busy playing.
For a 3-year-old, free play is often enough.
Do not plan too many activities. Young children can get tired or overwhelmed easily.
Let them play, explore and have fun.
And while the children are busy, you can even prepare a simple game or activity for the parents!
Step 7: Party Favors

Goodie bags are still a fun way to end the party.
I always suggest giving them when the guests are leaving.
If children receive them at the beginning, they may open the bags immediately and start comparing what everyone else has!
Party favors do not have to be expensive.
You can give:
• Books
• Colouring sets
• Stationery
• Small puzzles
• Art supplies
• Reusable bottles
• Small toys
• Simple activity kits
In 2026, I also prefer choosing useful items and avoiding too many small plastic toys that may only be used once.
A simple, thoughtful gift is often better than a big goodie bag.
When Should You Send the Invitations?
Sending invitations 2–3 weeks before the party is usually a good idea.
This gives parents enough time to save the date.
For a bigger party or a popular venue, you may want to send them earlier.
And don’t forget to send a reminder 2–3 days before the party.
Digital invitations are also very convenient today. You can easily include the venue location, Google Maps, RSVP details, parking information and other important information.
Big Party or Small Party?

Ask yourself one simple question:
What will make my child happy?
Not:
What will look the most impressive?
A 3-year-old may be much happier playing with 10 close friends than attending a huge party with 50 children.
On the other hand, if your family is big and your child enjoys family gatherings, then a family party can be wonderful too.
There is no right or wrong answer.
Every child is different.
